What is this for?

A project is where the actual work happens. The organization holds your team and general settings. Tasks, workflows and data, however, always belong to a project. This lets you run separate lines of work in the same organization, such as one project per client, department or product.

When you select a project, the tasks, records and reports you see belong to it. This is your active project. To open a project, you must be a member of the organization and also be added to that project.

Example scenario

At a manufacturing company, operations manager Selin wants two projects for two production lines: “Line 1 Maintenance” and “Line 2 Quality”. The organization already exists. Selin creates both projects from the Projects section. She adds Emre from the maintenance team to Line 1 Maintenance and Deniz from the quality team to Line 2 Quality. Emre sees only his project. Selin manages both.

Who uses it

• Organization owner and administrators: Open new projects, edit project settings, add or remove members and archive projects when needed.
• Project administrator (Admin): Manages members and settings within their own project and tracks progress.
• Project member (Member): Works on tasks in the project they were added to and sees only the projects they belong to.

A small team can start with one project. Teams that serve several clients or lines of work open a separate project for each.

Step by step

1. Go to the Projects section. Click Projects in the left menu. All projects in your current organization are listed here.
2. Create a new project. Click “New Project”, give it a name and, if you wish, add a short description. For example, choose a clear name such as “Line 1 Maintenance”.
3. Open the project. Click it in the list. From then on, the tasks and data you see belong to that project.
4. Add the team. In the project settings, add people who are already members of the organization. Only organization members can be added.
5. Set roles. Give each project member the role of Admin or Member. Admins can change project settings; members focus on the work itself.
6. Adjust project settings. Update the project name and description and set the options you need.
7. Archive when needed. Archive a completed or paused project. An archived project is read-only: its data is kept, but no new changes can be made.

To switch projects, return to the project list at any time. The project you select determines the work and data you see.

Frequently asked questions

What is the difference between an organization and a project? The organization is the top-level container that holds your team and general settings. A project is the working unit that contains tasks and data. One organization can hold several projects.

What does active project mean? While you work on the platform, one project is always selected. The tasks, records and reports you see belong to it. When you switch to another project, the screen refreshes with that project’s data.

Does everyone who joins the organization see every project? No. Each person must be added to a project separately. Only organization members can be added to a project.

Who can create a project? The organization owner and administrators who have been given permission to open projects. The person who creates a project becomes its first administrator.

What happens to an archived project? It becomes read-only. Its data and history are kept, but no new changes can be made. You can still view its contents whenever you need them.

What happens to the data if I delete a project? The tasks and records linked to it are deleted too, and this cannot be undone. For this reason, we recommend archiving a finished project instead of deleting it.
